How Beach Accountants made digital signatures easier with the FuseSign + Karbon integration

For Beach Accountants, signing is already part of the daily workflow. The firm sends accounts, tax returns and Making Tax Digital documents for digital signature every day, so small admin tasks can quickly add up. That was one of the reasons the team was interested in the FuseSign + Karbon integration.

Gavin Spencer, Managing Director at Beach Accountants, put it simply: “We’ve used Karbon for a long time and really rate the system, but pulling our client contact details into FuseSign has made life so much easier."

Beach Accountants had already used Karbon for a long time, and when the firm joined the beta for the integration, the value was clear quite quickly: less manual input, fewer checks between systems, and more confidence that the right contact details were being used.

Why the integration mattered

Before moving to FuseSign, Beach Accountants had been using DocuSign. Gavin said the product itself worked, but the process involved too much manual input.

“You had to type in the contacts, emails and message every time. That takes time out of the day, and when you’re sending documents out regularly, all that time adds up.”

- Gavin Spencer, Managing Director, Beach Accountants

For a firm of 10 people supporting around 500 to 600 clients, that kind of duplicated admin creates avoidable friction. Team members should not have to keep switching between systems just to confirm email addresses or re-enter contact details for documents that need to go out quickly.

That is where the Karbon integration made a practical difference.

What changed with FuseSign + Karbon

According to Gavin, one of the first benefits the team noticed was the experience with new clients.

“When I asked the team, they were focused on new clients,” he said. “They said it was really good because we were pulling all the data and email addresses from Karbon, and the clients were being selected from there. They said it was saving a lot of time.”

But the bigger advantage became clearer once the team looked beyond that first use case.

“I said, ‘If we update a client in Karbon - whether that’s done by admin, payroll or the accounts team - it’s automatically updated in FuseSign.’ That’s when the biggest smiles came onto their faces.”

That matters because it removes one of the most common sources of wasted time and confusion in document workflows: outdated contact details.

“It takes away the problem of emails never getting there and not knowing whether they got there. You’re always running with up-to-date, relevant information. That’s really important.”

- Gavin Spencer

The integration also makes life easier for staff, especially in busy periods or when onboarding new team members.

“They’re not having to go backwards and forwards to different software to find an email address,” Gavin said. “It’s already there.”

Why this matters for accounting firms

For accounting firms already using Karbon, the value of the integration is not just speed. It is also about accuracy and control.

From Gavin’s perspective, the operational benefit sits on two levels. First, there is the ease-of-use side for the team. Staff spend less time checking details manually, and they can work from the information already held in Karbon. Second, there is the management side.

“What I really liked about the new FuseSign integration is that it pulls the document directly from Karbon,” Gavin said. “You can’t just send a random document through FuseSign. The contact has to run through Karbon."

"From an audit trail perspective, and in terms of making sure accuracy is important, that’s really helpful. You know who, where, and what is being used in the system."

- Gavin Spencer

That combination of lower admin, better data accuracy and stronger process control is exactly what accounting firms need from connected software. Rather than treating e-signatures as a standalone task, the integration keeps signing aligned with the firm’s existing practice management workflow.

A better fit for connected accounting workflows

Beach Accountants already valued both systems separately. Connecting them made the workflow stronger.

For Gavin, that is the broader takeaway. The integration helps the team move faster, reduces the risk of using old information, and gives the practice better control over what is being sent and to whom.

It is another example of what happens when electronic signature software is built to work with accounting systems, rather than sitting outside them.
