For Jefferson Accounting & Tax, preparing the work is only one part of the job. Documents must also reach the right people, collect the correct signatures and return to the right client file before work can continue.

The Irish practice serves several hundred SMEs, from sole traders to businesses employing around 100 people. Each year, it handles approximately 100 sets of company accounts and 200 income tax returns.

When email created too many steps

Before FuseSign, Jefferson Accounting & Tax did not use a dedicated digital signature platform.

Documents were sent as PDF attachments, with clients asked to print, sign, scan and return them. That process became particularly difficult when a document needed signatures from multiple people in different locations.

A director in Ireland might print and sign the document before scanning it to another director in the UK. The second person then had to repeat the process and return it, sometimes to the first director rather than the practice.

"Before FuseSign someone had to print it, sign it, and scan it to the next person. They had to do the same thing and scan it back. There were too many steps and clicks involved. Now, you just click it out and send it out - it's so handy!"

Once a completed document arrived by email, someone at the practice still needed to download it, save it to the correct client file and notify the person responsible for the next step.

If the email was opened but not dealt with immediately, the wider workflow could remain unfinished.

What the process looks like now

The team begins by creating and saving the relevant documents in FYI.

For a set of year-end accounts, that can mean five to eight documents, including financial statements, engagement letters, letters of representation and supporting tax documents. Income-tax packs may contain another three or four documents with different requirements for each recipient.

The team selects the relevant documents in FYI, applies a predefined accounts or income-tax template and moves the pack into FuseSign.

From there, they can:

  • Add each recipient
  • Control which documents each person can view or sign
  • Position the required signature and date fields
  • Preview the complete bundle
  • Send everything as one request

Once every recipient has completed their part, the signed documents return to the relevant file in FYI.

The work does not stop when Jeff is away

Jeff is often the final person in the signature chain.

After the company secretary, directors or other representatives have completed their signatures, the accounts pack comes to him for final approval.

Because he can complete that step from his phone, his team does not have to wait for him to return to the office.

Once Jeff completes his part, the finished documents return to the team so they can continue with the relevant submission or filing.

For a small practice working through demanding compliance periods, that continuity matters. Deadlines and client work can keep moving even when senior team members are travelling or working remotely.

From days by post to minutes online

When every recipient is ready to sign, Jeff says a complete accounts pack can move through the signature process and return to FYI within minutes.

"A full set of accounts could be signed with FuseSign and filed in FYI within five minutes. If you were sending that through the post, it could take days."

The same process is easier for clients. They can complete their signatures from their phone without needing to be in the office or have access to a printer and scanner.

Multiple directors can also complete their parts from different locations without relying on one recipient to forward the documents manually.

Simple for staff and clients

Despite supporting complex accounts packs, multiple recipients and different document permissions, Jeff says FuseSign was straightforward for the team to adopt.

Staff can work from templates and follow a consistent process without needing extensive internal training. Clients receive a clear request and can complete their signatures wherever they are.

For Jefferson Accounting & Tax, the result is fewer manual steps, less opportunity for documents to be missed and an easier experience on both sides of the process.

Built around the realities of Irish practice life

Irish accounting workflows come with their own requirements. Jeff explained that some CRO-related documents still need wet signatures, so the firm aims to identify and collect those documents earlier in the accounts process.
